Terms and Conditions
1. Contracting Parties
1.1. These Terms and Conditions are between Voyager Golf Travel  (the “Agent”) and the recipient of these conditions (the “Client”).

1.2. If the Client retains the services of an intermediary, the Client will procure the agreement of the intermediary and ensure that the intermediary complies with these Terms and Conditions.

1.3 The terms and conditions are general in nature and are in addition to any other terms and conditions set out on the website pertaining as listed on a specific webpage relating to any tour.

2. Booking Procedures and Payment Policy
2.1 Booking requests should be emailed to info@vgt.golf

2.2 The Client must complete the online booking form

2.3 The booking request will be held for a maximum of seven days pending receipt of a completed booking form and the specified deposit amount per person.

2.4 Payment for the balance of the tour is required 30 days before departure, unless an earlier payment date is specified for the Tour.

2.5 Payments not received by the due date may be treated as cancelled and subject to cancellation fees as outlined in Section 3 – Cancellation Fees.
2.6 All prices are in Australian currency (AUD), includes GST and supersedes all previously advertised prices.
3. Cancellation Fees
3.1 Cancellation by the Client:

  • As per terms of tour:                                           Loss of deposit
    60 days before departure:                                  50% of total tour cost
    Less than 30 days before departure:               Full cost of tour or amount paid.

3.2 If the Client withdraws or cancels, cancellation costs will be incurred as outlined in 3.1.

3.3 The Client may arrange a substitute traveller. The Client must notify the Agent in writing as soon as practicable.

3.4 All monies are to be paid by the substitute traveller directly to the Agent at least 30 days prior to departure. Upon full payment being received from the substitute traveller the Agent will release the same dollar value to the Client who made the cancellation.

3.5 In the event the Client chooses to nominate a substitute traveller it is the responsibility of the Client to satisfy any outstanding monies owed by the substitute traveller. No liability will be accepted by the Agent for this transaction.

3.6 It is the responsibility of the Client to find a suitable replacement, no liability is held by the Agent.

  1. Substitute travellers

4.1. A substitute traveller is subject to all Terms and Conditions as outlined including any additional Terms & Conditions related to specific tours which are outlined in the specific tour details.

4.2. If a substitute traveller joins a tour as part of a rescheduled tour date, no refund applies as per Section 10.2 and subject to all clauses as outlined in this document.

4.3 All substitute travellers must complete all associated forms or documentation as required by the Agent, including any monies that are required to confirm the substitute booking.

  1. Tour inclusions

5.1 Inclusions are shown to be included in tour brochures or website information, for example:

– meals, drinks (bottled water or beverage with lunch and dinner) when listed
– entries, permits, admissions, gratuities/tipping
– day trips, tours, transfers and activities as outlined in the itinerary
– escorts by experienced crew or local hosts (see tour specific itineraries) or expert local and indigenous guides.
5.2 Items not included are items SHOWN as not included in tour brochures or the tour website and/or any communication material of any kind plus any items of a personal nature, such as telephone, laundry, gratuities, meals, drinks at bars, mini bars etc.

  1. Exclusion of Liability
    6.1. Whilst the Agent will take all reasonable steps to provide an enjoyable tour, it accepts no liability for any loss of enjoyment experienced by the Client due to circumstances beyond its control. The Agent further accepts no liability for any loss beyond its reasonable control and provides no warranties in addition to those set out under the Trade Practices Act 1974 and nothing herein restricts any Client from exercising their rights and remedies pursuant to law.
    6.2. These tours may include the services of other service providers (eg. Hotels, Airlines and tour excursion operators) other than the Agent, which are not under the direct control of the Agent, and while the Agent takes all reasonable care in selecting these service providers, it cannot accept responsibility for those service providers’ conduct or the conduct of their representative employees or their agents for any ramifications of that conduct.
    6.3. No Client will be permitted to embark or continue on tour while their mental or physical condition is, in the opinion of any representative of the Agent, which renders them incapable of caring for themselves, or whereby they become objectionable to other tour guests, or they become a hazard to themselves or other tour guests. The Agent will not be responsible for expenses resulting in the Client being precluded from completing the tour.
    7. Passenger Travel Insurance
    7.1. Travel insurance is not included in the tour package.

7.2 The Agent strongly recommends all Clients take out travel insurance when booking their tour package to ensure adequate protection against potential medical emergencies, flight cancellations, delayed luggage, or an unforeseen event. 8. Conditions of Booking
8.1. The operator will act as an agent and introduce you to the transportation companies, Hotels, Contractors and the like who may provide tour guests with the services and facilities referred to in the itinerary applicable to the tour.
8.2. All prices quoted in these Terms & Conditions, including fares and tour costs, are those current at the date of publication and are subject to alteration at the absolute discretion of the Agent, and in particular, but not limited to when there are tariff or fare variations or currency fluctuations. Any increase or change in costs are in addition to the original quoted price in these Terms & Conditions and any increase will be paid by the Client prior to departure.
8.3. Every effort will be made to follow the itinerary for each tour. However, on some occasions, it may be necessary for the itinerary to be amended due to operational requirements, inclement weather conditions or any other factor that adversely affects the tour itinerary. The Agent reserves the right to make such amendments to the itinerary which will always be in the interests of comfort and safety, and of equivalent interest or standard.
8.4. If in the event for any reason, changes to the itinerary are required and there is an additional cost, any additional costs will be advised in writing to the Client. The Client may choose to pay any additional charges or find a substitutionf the Client chooses not to pay the additional charges, it will be deemed as the Client cancelling the tour, as per section 3.
8.5 The Agent reserves the right, without payment of compensation, and whether before or after the commencement of travel, to exclude any Client if the Client may appear likely to endanger the health, safety or impair the comfort of other Clients. He/she may be asked to leave the tour immediately.
9. Acceptance
9.1 All bookings constitute your acceptance of these Terms and Conditions, which are subject to change without notice. These conditions cannot be varied or altered or waived by any servant or agent or representative of the company or by any person providing services and facilities. The Agent will not be bound by any representation purported to have been made on their behalf unless they confirm or have confirmed or made a representation in writing.

  1. Rescheduling a tour

10.1 Where Government imposed COVID-19 restrictions or adverse conditions at the tour destination affect a tour booking at any level, including but not limited to availability of Hotels, flights, tee times, arrival and departure dates, in the first instance, the Agent will reschedule to a new date and communicate the new dates in writing electronically to the Client.

10.2 Where the associated Service Providers policy is to reschedule only, then this is and will be enforced and take precedence, over and above any of the terms and conditions outlined by the Agent and refunds won’t apply. However the tour will re-scheduled to a new date with no financial penalty unless the associated Service Provider advises otherwise.

10.3 The Client does not reserve the right to make decisions on behalf of the Agent or any associated Service Provider to cancel a booking or make changes on behalf of the Agent. The Agent reserves the right to hold 100% of all monies paid for the tour. Any expenses incurred due to the client making changes is at their expense and all monies owed are to be settled by the Client by due dates as communicated to the client, no liability is held by the Agent or any parties associated with the Agent.

10.4 All bookings unless otherwise communicated will be held as a travel credit and applied to the next available travel date to the destination which was originally chosen or if an option is unavailable the travel credit will be applied to a future tour of choice, this is at the full discretion of the Agent.

10.5 Tours are unable to be swapped or exchanged unless the client can find a substitute traveller to take their place and advise the Agent in writing, providing the complete and full details of the substitute traveller.

  1. Social media and images for marketing purposes

11.1 The Client agrees that the Agent has full usage of any images (including video footage) taken before, during and/or after any event to be used for marketing purposes on any social media platform or review site the agent deems to be fit for marketing purposes.

11.2 The Client is not entitled to any type of compensation or remuneration and by accepting the Terms & Conditions agrees they are not entitled to any remuneration whatsoever.

11.3 The Client can request in writing to admin@vgt.golf to have their face blurred or removed from the images.
